Registration Policies

Payment Policy


All JCC Programs

For your convenience, JCC accepts cash, check, VISA, American Express, MasterCard and Discover. Prior to processing registration for any JCC activity, accounts are reviewed for outstanding balances. Registration cannot be processed until past-due balances are reconciled.

If a class or program requires membership, your membership must be in effect for the duration of the program. Should your membership expire during the timeframe of the program, it must be renewed at the time of registration in order to receive member benefits.

Unless otherwise specified, fees for membership, classes and programs should be paid in full at the time of registration. Payment plans may be available; please contact the Business Manager at the site where you plan to attend programs.

Registration By Mail

If registering by mail, please enclose your registration form with payment.

Service Fee

A credit card or post dated check must accompany all registrations to secure a payment plan. Please also note that a $25 service fee will be assessed for all returned checks and declined credit cards.

Camp Chi Specific

A completed registration form along with full deposit is required to process each camper’s registration. If registering by phone, you are agreeing to accept the payment and cancellation policies. Upon registration, automatic monthly credit card billing is available on the 15th of each month ending with the last payment no later then May 15th.

Early Childhood-Specific

Preschool program fees are due in three equal installments on the following dates: 1st installment due April 15; 2nd installment due July 15; and 3rd installment due December 15. For those families attending Mayer Kaplan Children’s Center or Bernard Horwich Children’s Center, fees are due in eight equal installments starting in July and ending in February. Other payment options may be arranged by contacting the Business Manager at the site at which you plan to attend.

Full-Day Child Care program fees are due monthly and are due one month in advance. Full-day program fees are based on a July 1 to June 30 calendar year. Tuition is based on class placement, not the age of the child. Other payment options may be arranged by contacting the bookkeeper. The Full Day Child Care Program and the Pre-School Program should be considered separate programs as they have very different costs and timing associated with them.

JCC Afterschool (ASR)

JCC AfterSchool payments are charged in 8 equal installments. Payments are due on the 15th of the month for the following month. And can be paid with a post dated check or auto charge on a credit card. Full tuition is due by April 15. For those families attending Mayer Kaplan Children’s Center or Bernard Horwich Children’s Center, fees are due in eight equal installments starting in July and ending in February.

Proration


When space is available, classes and programs may be prorated for late starts. Please contact the Program Director to arrange a proration.

Fees cannot be prorated for participant absence from a scheduled class unless such a policy is noted in the class listing. If a participant cannot continue in a class due to doctor’s written orders provided to the JCC, the JCC will provide a prorated program credit for the remainder of the class. If a participant wishes to continue a class after a hiatus described above, they may receive a prorated credit for the time missed.

Early Childhood-Specific

Full-Day Child Care and Preschool program fees cannot be prorated for participant absence from scheduled class sessions.

Extended Absence

If a participant wants to take an absence from the program, they can cancel and then re-enroll when they return IF a spot is available. Otherwise to hold a spot the participant will need to remain in the program and make timely payments during the absence. If the participant has received financial assistance from the JCC, this assistance will be canceled. The JCC will work with customers if extenuating circumstances exist. In such instances, the customer should contact the Business Manager at their site.

Refunds


All JCC Programs

JCC membership, class and program fees are non-refundable and non-transferable. Withdrawal from a class or program after the session or program has begun (or within two business days of a special or one day event) will result in full forfeiture of fees. Prior to the start of class, refunds are available less a $25 administration fee. Refunds or credits are not given for illness, vacation or temporary childcare arrangements.

JCC reserves the right to cancel a program due to insufficient enrollment. If a suitable alternative cannot be found for the participant, a full refund will be issued. If a program or class is canceled, JCC will either attempt to institute a make-up session or issue credit. JCC reserves the right to substitute qualified staff, whenever necessary, to ensure the class or program’s success. Refunds are not granted for staff changes.

Camp Chi Specific

All cancellations must be in writing and submitted to the camp director. If cancellation occurs prior to November 1, the deposit less the $100 application fee is refundable; between November 1 and February 15, $300 of the deposit will be withheld; after February 15, the entire $500 deposit will be withheld; and after April 18, all camp fees will be withheld. Refunds or credits are not given for illness or vacation.

Early Childhood Specific

Refunds or credits are not given for illness, vacation or temporary childcare arrangements. If a program or class is cancelled by JCC, all fees will be refunded. Prior to the start of class, there is no fee for a transfer to another class during the same session. Prior to the start of class, refunds are available for the class fee less a $25 administrative fee. Withdrawal from a class or program after the session or program has begun will result in full forfeiture of fees.

A 30 day written notice from the participant is required for cancellation of any program. The participant will be responsible for payment for those 30 days.

Discontinuation Of Services


In the event the JCC determines that enrollment or continued participation in JCC programs or services is not appropriate, JCC reserves the right to discontinue service. In such a circumstance, any unused portion of service fees paid to date will be refunded. JCC reserves the right to cancel the enrollment of an individual for reasons not limited to the following: not observing the rules of the JCC as outlined on our website, in the program guide or parent handbook; if a child has special needs that cannot adequately be met with current staffing; physical or verbal abuse of staff or children by adult or child; or non–payment of fees.

Fee Assistance


Fee assistance for JCC membership and most programs and services are available for those families in need on a first-come, first-served basis. All requests for fee assistance are handled confidentially. For more information or to receive a fee assistance application, contact the business manager at your local JCC site or refer to our website.

Photo Policy


JCC may videotape or photograph participants enrolled in programs, classes, and events or while enjoying JCC facilities. These photographs are for JCC publications, flyers, publicity efforts, brochures, and website or cable programs. All photos and videos are for JCC use and become the sole property of JCC.

Early Childhood-Specific

A program permission form must be signed to allow a child’s picture and name to be used for publicity purposes by JCC. This policy is mandated by DCFS.

Insurance and Medical Information


JCC does not provide medical insurance coverage for accidents or injuries that occur while attending or participating in any activity at or sponsored by JCC. Some programs require that the JCC maintains participant medical information and treatment authorization forms on file. We respect the privacy of our participants and maintain confidentiality.

Payment


Membership dues are annual and are payable in full at the time of purchase or renewal, unless otherwise specified, with cash, check or credit card. Full Facility and Access members may choose monthly automatic debits to VISA, MasterCard, or Discover (including debit cards) with a written commitment to 12 full months.

Facility Usage Policy


The JCC strives to meet the community’s needs in every possible way. However, our staff cannot accommodate unsupervised young children. Please leave your child at the JCC only for supervised programs for which your child is registered, and arrange to meet your child at the designated time. Children under 10 years old may utilize open gym and free swim only if accompanied by a parent or designated parent substitute. JCC policy requires that children five years old and older must use the appropriate gender locker room.

Security: Access Control Policy


Early Childhood Specific

Every person, member or non-member, seeking entry to a JCC location to use the facility, drop off, pick up or visit a child at school, attend a class or event must identify themselves to JCC staff or guard at the entry. A person may gain entry with a valid membership card, special pass, a government issued photo ID, a valid Illinois state driver’s license or a U.S. passport. Non-members will be required to sign in at the entry point. Any person refusing to properly identify themselves at the entry point will not be allowed entry. Sign-in logs will be readily available to persons required to sign in.
