JCC Chicago Policies

Payment Policy

All JCC Programs
For your convenience, JCC accepts cash, check, VISA, MasterCard and Discover and American Express. Online registrations and contributions require payment by credit card. If preferred, online information may be printed and registrations and donations may be completed by mail with a personal check. Please note that registrations are not complete and spots are not held until program fees or deposits are made. Prior to processing registration for any JCC activity, accounts are reviewed for outstanding balances. Registration cannot be processed until past-due balances are reconciled.

Unless otherwise specified, fees for classes and programs should be paid in full at the time of registration. Payment plans may be available; please contact the Business Manager at the site where you plan to attend, or for the program.

If registering by mail, please enclose your completed registration form with payment.

 

Camp Specific
A completed registration form along with the full deposit is required to process each camper’s registration. If registering by phone, you are agreeing to accept the payment and cancellation policies. For Camp Chi and Apachi Day Camps, full payment is due by April 15. Full payment is due for JCC Neighborhood Camps by May 15.

 

Early Childhood Specific
Preschool program fees are due in three equal installments on the following dates: 1st installment due April 15; 2nd installment due July 15; and 3rd installment due December 15. For those families attending Mayer Kaplan JCC Children’s Center or Bernard Horwich JCC, fees are due in eight equal installments starting in July and ending in February.

Infant/Toddler Care program fees are due on the 15th of the month for the following month. Full-day program fees are based on a July 1 to June 30 calendar year. Tuition is based on class placement, not the age of the child.

 

J at School Specific
J at School payments are charged in nine equal installments. Payments are due on the 15th of the month for the following month, starting in September and ending in May.

 

J-Fit Pass Specific
J-Fit Pass continues unless you notify JCC Chicago in writing 30 days prior to the 15th of the month in which you wish to cancel.

 

Private Swim Lessons Specific
JCC Private Lessons are charged as monthly installments. Payments are due on the 15th of the month for the following month, beginning in September and ending in May. Private Lessons continue unless you notify JCC Chicago in writing 30 days prior to the 15th of the month in which you wish to cancel.

Upon registration of Private Lessons with Aquatics Director, my credit/debit card will be charged for the first month and then you will be put on automatic withdrawal (of the same credit / debit card) for consecutive months thereafter.

Payment Plans

For programs offering payment plans, or for arranged payment plans, a credit card must accompany the registration to secure the payment plan. Optional, automatic credit card billing installment plans are encouraged.

Service Fee

Please note that a $25 service fee will be assessed for all returned checks.

Proration

Fees cannot be prorated for participant absence from a scheduled class or camp unless such a policy is noted in the class or camp listing. If a participant cannot continue in a class eligible for proration due to doctor’s written orders provided to the JCC, the JCC will provide a prorated program credit for the remainder of the class. If a participant wishes to continue a class after a hiatus described above, they may receive a prorated credit for the time missed.

When space is available, some classes and programs may be prorated for late starts. Please contact the Program Director or site Camp Director to determine whether a proration is possible.

Extended Absence

If a participant wants to take an absence from the program, they can cancel and then re-enroll when they are ready to return if a spot is available. To ensure a spot is held in the program, the participant can continue to make timely program payments during their absence. If the participant has received financial assistance from the JCC, this assistance will be canceled upon their program cancellation. The JCC will work with customers if extenuating circumstances exist. In such instances, the customer should contact the Business Manager at their site.

Refunds

All JCC Programs
Prior to the start of a program, refunds are available less an administration fee. Fees are non-transferable and non-refundable once a program has begun. Refunds or credits are not given for illness, vacation or temporary childcare arrangements. (See below for specific camp and early childhood refund policies.)

JCC reserves the right to cancel a program due to insufficient enrollment. If JCC cancels a program, a full refund will be issued. If a program or class is canceled, JCC will either institute a make-up session or issue credit. JCC reserves the right to substitute qualified staff, whenever necessary, to ensure the class or program’s success. Refunds are not granted for staff changes.

 

Apachi Day Camp Specific
All cancellations must be in writing and submitted to the Camp Director. A deposit of $500 per session is required at registration to hold your spot. The balance of camp fees is due on or before April 15th.

Cancellation Fee Schedule:
September 20th – November 30th… $100 (withheld)
December 1st – February 15th… $300 (withheld)
February 16th – April 15th… $500 (withheld)
After April 15th… All monies paid to date (withheld)

 

Neighborhood Day Camp Specific
All cancellations must be in writing and submitted to the Camp Director. A deposit of $300 per session (except Bernard Horwich, which is $200) is required at registration to hold your spot. The balance of camp fees is due on or before April 15th.

Cancellation Fee Schedule:
February 1st – March 15th… $100 (withheld)
March 16th – May 15th… $300 (withheld)
After May 15th… All monies paid to date (withheld)
Anita Stone Specific… $50 (withheld) for any cancellation

 

Camp Chi Specific
All cancellations must be in writing and submitted to the Camp Director. A deposit of $500 per session is required at registration to hold your spot. The balance of the camp fee is due on or before April 15th.

Cancellation Fee Schedule:
September 20th – November 30th… $200 (withheld)
December 1st – February 15th… $300 (withheld)
February 16th – April 15th… $500 (withheld)
After April 15th… 50% of the total camp fee is withheld

 

Early Childhood Specific | Half-Day Preschool:
All cancellations must be in writing and submitted to the Early Childhood Director.

Cancellation Fee Schedule:
April 15th – July 15th… $500 (withheld)
After July 15th… 100% of fees paid will be withheld
Post-August 15th Horwich & Kaplan Specific…100% of fees paid will be withheld

 

Early Childhood Specific | Infant/Toddler Care, Full-Day Preschool & Kindergarten:
All cancellations must be made in writing at least one month (30 days) in advance in order to cancel remaining payment obligations. The participant will be responsible for payment during this 30 day cancellation notice period.

 

J at School
All cancellations must be made in writing at least one month (30 days) in advance in order to cancel remaining payment obligations. The participant will be responsible for payment during this 30 day cancellation notice period.

 

Private Swim Lessons Specific
JCC requires 24 hours advance cancellation prior to the lesson to avoid regular billing. Any Private Lesson cancelled in less than 24 hours will be charged for the lesson taken.

Discontinuation of Services

In the event the JCC determines that enrollment or continued participation in JCC programs or services is not appropriate, JCC reserves the right to discontinue service. In such a circumstance, any unused portion of service fees paid to date will be refunded. No refunds will be given for day campers failing to abide by the camp “Code of Honor”.

JCC reserves the right to cancel the enrollment of an individual for reasons not limited to the following: not observing the rules of the JCC as outlined on our website, in the program guide or parent handbook; if a child has special needs that cannot adequately be met with current staffing; physical or verbal abuse of staff or children by adult or child; or non–payment of fees.

Fee Assistance

Fee assistance consideration is available for many programs and services to families demonstrating need. All requests for fee assistance are on a first come, first served basis and are handled confidentially. For more information or to receive a fee assistance application, contact the Business Manager at your local JCC site or refer to our website under the Registration and Payments section.

Photo Policy

JCC may videotape or photograph participants enrolled in programs, classes, and events or while enjoying JCC facilities. These photographs are for JCC publications, flyers, publicity efforts, brochures, web use, other electronic communications or video usage. However, for Early Childhood, a program permission form must be signed to allow a child’s picture and name to be used for publicity purposes by JCC. This policy is mandated by DCFS. All photos and videos are for JCC use and become the sole property of JCC. Please contact the Program Director for photographic exclusions for your child.

E-mail Policy

If you have attended a JCC Chicago program we will occasionally send you communications by email. You may unsubscribe or change your email preferences at http://www.jccemails.com. Registered program participants may occasionally receive mandatory program-related communications. JCC Chicago respects your privacy and will not sell or rent your information to any outside parties.

Insurance and Medical Information

JCC does not provide medical insurance coverage for accidents or injuries that occur while attending or participating in any activity at, or sponsored by, JCC. Some programs require that the JCC maintains participant medical information and treatment authorization forms on file. We respect the privacy of our participants and maintain confidentiality.

 

Camp and Early Childhood Specific
All children must have a current medical and immunization record on file in order to attend programs. For Early Childhood, this must include a TB and Lead Screening test and must be done no sooner than six months before first starting. The medical examination must be updated yearly by the child’s physician. Camp medical information is valid for 24 months.

Facility Usage Policy

The JCC strives to meet the community’s needs in every possible way. However, our staff cannot accommodate unsupervised young children. Please leave your child at the JCC only for supervised programs for which your child is registered, and arrange to meet your child at the designated time. Children under 10 years old may utilize open gym and free swim only if accompanied by a parent or designated parent substitute. JCC policy requires that children five years old and older must use the appropriate gender locker room.

Security: Access Control Policy

Every person seeking entry to a JCC location to use the facility, drop off, pick up or visit a child at school, attend a class or event, must identify themselves to JCC staff or guard at the entry. A person may gain entry with a valid JCC issued ID, a government issued photo ID, a valid Illinois state driver’s license or a U.S. passport. Visitors without a JCC issued ID will also be required to sign in at the entry point. Any person refusing to properly identify themselves at the entry point will not be allowed entry. Sign-in logs will be readily available to persons required to sign in.
